From chaos to a system

We build systems your business can actually run with no developers.

NeedleBit designs internal systems, MVPs, SaaS products, and automation platforms for teams that need structure more than developer chaos.

  • Fast to build
  • Maintainable by your team
  • Designed to survive growth

Why this combination works

Fast-to-ship web product delivery, strong ownership over data and auth, and flexible automation your team can keep evolving.

Outcomes

Less work. More control.

We do not sell lines of code or hours spent. The useful question is what changed for the business: less manual work, faster operations, fewer missed steps, and less dependence on one person.

10x-13x

Revenue growth after system redesign

70,000+

Documents migrated into structured systems

Hours to minutes

Manual operations reduced through automation

Lower dependency

Important business logic moves out of one person's head and into the system

Fewer missed steps

Automation handles repetitive checks, handoffs, and notifications

Easier handover

The next qualified team can understand what exists and continue the work

Change

Before and after

Most companies do not need another app. They need fewer places where information gets lost, fewer things people have to remember, and fewer changes that everyone is afraid to make.

Before

  • Sheets, email, and chats hold different versions of the truth
  • Important rules live in one person's head
  • Nobody knows which automation can be changed safely
  • Data is copied between tools by hand
  • A small change turns into technical archaeology

After

  • One clear data structure with defined ownership
  • Business rules live in the system instead of personal memory
  • Integrations are visible and understandable
  • Routine handoffs are automated where they save real work
  • The next developer can see how the system works

Services

What we do

Internal systems, products, and automation for businesses whose current setup has become too fragile, too slow, or too expensive to change safely.

Build

Internal tools, CRM, ERP, and client portals

When operations are held together by Sheets, email, and memory, we turn them into usable internal tools with clear roles, workflows, visibility, and data ownership.

Launch

MVP and SaaS product delivery

We help founders get a real product in front of users quickly, learn from actual behavior, and then strengthen the parts that deserve to survive past the prototype.

Takeover

No-code and AI-built system takeover

We take over Bubble, Glide, AI-built, and ad hoc systems, work out what is worth keeping, identify the real risks, and make the next stage understandable before changing everything at once.

Data

Backend and data architecture

We clean up data models, permissions, integrations, and critical business logic, including Supabase, Postgres, or Xano backends, when the interface is not the part that needs rebuilding.

Automate

Business process automation

We connect systems with n8n, Activepieces, or direct integrations and remove repetitive handoffs where automation saves time, reduces mistakes, or makes the process easier to control.

Vibe code

AI prototype hardening

Your AI-built prototype may already contain the right idea and useful code. We review it as a system, refactor the parts that will hurt later, add tests and guardrails, and make the product safe for a team to keep developing.

Fit

Who we help

Nobody else likes it

The founder knew the process well enough to build a tool around their own logic. The people doing the work were never part of the design. Intuition replaced user research, so now the team keeps side spreadsheets, asks for exceptions, or quietly avoids the system.

Prototype became production

It was supposed to prove the idea. Then customers arrived, real data went in, and new features kept landing. Now the prototype needs production rules without losing the speed that made it useful.

Nobody wants changes

Every new request starts with archaeology. People are afraid of breaking something because nobody can explain the whole chain from interface to data to automation.

One person knows everything

Maybe it is the founder, the first developer, or the person who built most of it with AI. If they are unavailable, the rest of the team can operate the happy path but cannot safely change the system.

Problems

Small changes hurt

The system may still work. The cost shows up when somebody needs to change it, trust its data, or understand what happens next.

Nobody wants to touch it

One field changes, one integration gets updated, and nobody knows what else might break. So the team learns to leave the system alone.

Small changes become projects

A new report, status, or workflow should be simple. Instead it takes days of investigation because every old workaround depends on another workaround.

Numbers stop matching

Sales has one number. Operations has another. Finance keeps its own spreadsheet just in case. Someone has to reconcile them by hand.

People fill the gaps

People copy data between systems, remind each other about missing steps, chase approvals in chat, and keep critical rules in their heads.

AI-slop

Speed makes mistakes

Building a prototype with AI is normal now. We use it too. The problem starts when prototype speed is mistaken for production readiness.

Prototype

Mistakes are still cheap

AI is excellent for testing an idea, building the first version, and discovering what the product actually needs to become.

Production

Someone must own it

Once customers, money, or important data depend on it, architecture and code review stop being optional. An experienced engineer has to understand the whole system and take responsibility for what reaches production.

Access

Too much access

AI can work with sensitive systems. It should not get unrestricted control over production data, credentials, destructive actions, or administrative permissions.

Architecture

Shortcuts keep multiplying

One prompt solves today's problem. Another adds a second pattern. Another works around both. Features keep arriving quickly while the structure quietly gets harder to understand.

Fragmentation

Fixes keep multiplying

AI can move through a codebase faster than structural problems become obvious. Duplicate logic, one-off fixes, and conflicting patterns accumulate before anyone stops to redesign the system. We call this AI fragmentation.

Process

How we work

01

Discovery

We map the business goal, the critical workflow, and the parts of the system that actually need attention.

Result: a clear boundary around the problem.

02

Architecture

We decide how data, permissions, integrations, and important business rules should fit together before implementation spreads complexity.

Result: a technical plan people can review.

03

Build

We implement the agreed changes, test the critical paths, and keep the system usable while it evolves.

Result: working software, not a pile of tasks.

04

Handover

We document what matters and leave enough context for your team or another qualified developer to continue.

Result: the system is not trapped with its original builder.

Delivery

Built to keep working

The goal is not just to ship something new. It is to leave the business with a system people can understand, operate, and continue changing without depending on the original builder.

  • Take over systems that became hard to change
  • Clean up data, permissions, and critical business rules
  • Build interfaces people can actually use
  • Automate repetitive work with clear control points
  • Document the system so another qualified team can continue

FAQ

Questions before we start

No. Many projects start with a review, takeover, migration, or refactor rather than a greenfield build.

Yes. AI is useful for implementation, analysis, testing, and refactoring. We use it as leverage, not as a substitute for technical ownership. Architecture, code review, permissions, and production decisions stay with an experienced engineer.

Yes. We first look at the architecture, data model, permissions, dependencies, and critical business flows. The goal is not to rewrite everything. It is to understand what is safe to keep, what needs refactoring, and what should not reach production in its current form.

Often, yes. Sometimes the better move is to keep the interface and fix the data, permissions, or logic behind it.

Whatever fits the system. We often work with WeWeb or FlutterFlow for interfaces, Supabase, Postgres, or Xano for backend work, and n8n or Activepieces for automation. The stack is a means, not the product.

We can hand the system over completely or stay involved for controlled changes, integrations, and architectural support.
